Gas Liquids Engineering Ltd. (GLE) is committed to safeguarding the personal information entrusted to us by our clients. We manage your personal information in accordance with Alberta’s Personal Information Protection Act and other applicable laws. This policy outlines the principles and practices we follow in protecting your personal information.
This policy applies to Gas Liquids Engineering and its subsidiaries. The policy also applies to any person providing services on our behalf.
What is Personal Information?
Personal information means information about an identifiable individual. This includes an individual’s name, address, email, and phone number.
GLE collects the personal information that you submit to our website and provide to GLE staff, such as your name, mailing address, email address, phone numbers and any other contact or other information that you choose to provide by:
- Using the “contact us” portion of this website
- By corresponding with a member or employee of GLE via e-mail or telephone
- From publicly available directories and on line data
- From business cards provided during the normal course of business
- From regulatory or contractual documents that may be exchanged with GLE during the normal course of business
Non-personal information, such as the same name of the domain from which you access the Internet, the dates and times you access our website and the Internet address of the website from which you may be linking directly to our website, is collected and used to determine the volume of traffic on our website. This information also enables us to identify ways in which our website can be improved to serve you better.
Our website may contain links to other websites that may be subject to less stringent privacy standards. GLE cannot assume any responsibility for the privacy practices, policies or actions of the third parties that operate those website. GLE is not responsible for how such third parties collect, use or disclose your personal information.
What Personal Information Do We Collect?
We collect only the personal information that we need for the purposes of providing services to our clients, including personal information needed to:
- Deliver requested products and services
- Provide warranties for services
- Meet regulatory requirements
We normally collect client information directly from our clients. We may collect your information from other persons with your consent or as authorized by law.
When Do We Use Or Disclose Your Personal Information
We share your personal information with our employees, contractors and consultants who require such information to provide the services or information that is a component of our business relationship.
GLE is not in the business of selling or sharing your personal information to any third party and does not use the data for any activity unrelated to our business relationship with you.
In some cases, we may be required by applicable law or regulatory requirements, or by the rules of professional conduct that govern the legal engineering profession, to share your data with government or regulatory bodies.
We ask for consent to collect, use or disclose client personal information, except in specific circumstances where collection, use or disclosure without consent is authorized or required by law.
We assume your consent in cases where you volunteer information for an obvious purpose.
In cases where we collected personal information before January 1, 2004, we assume your consent to our use and, where applicable, disclosure for the purpose for which the information was collected.
You have the right to request confirmation from us as to whether or not we are processing your personal data. You also have the right to request access to, modification of or deletion of personal data.
At any time you have the right to withdraw consent for processing your personal data for the purposes set forth herein, provided that we are not required by applicable law or professional standard to retain such information.
GLE retains data for as long as required to provide the services and as required in accordance with applicable laws and regulations.
A client may withdraw consent to the use and disclosure of personal information at any time, unless the personal information is necessary for us to fulfill our legal obligations.
We may collect, use or disclose client personal information without consent only as authorized by law. For example, we may not request consent when the collection, use or disclosure is reasonable for an investigation or legal proceeding, to collect a debt owed to our organization, in an emergency that threatens life, health or safety, or when the personal information is from a public directory.
How Do We Safeguard Personal Information?
We are committed to protecting the security, integrity and confidentiality of the data through the use of a variety of commercially reasonable, industry standard physical, administrative and technical safeguards. This includes but not limited to access controls, employee training, industry-standard encryption, firewalls and server authentication technology to protect data.
Unfortunately, no data transmitted over the Internet is ever 100% secure. As a result, GLE does not represent, warrant or guarantee that personal information will be protected against loss, misuse, interception or alteration and does not accept any liability for personal information submitted to us via the Internet.
We will notify the Office of the Information and Privacy Commissioner of Alberta, without delay, of a security breach affecting personal information if it creates a real risk of significant harm to individuals.
We retain client personal information only as long as is reasonable to fulfill the purposes for which the information was collected or for legal or business purposes.
We render client personal information non-identifying, or destroy records containing personal information once the information is no longer needed.
We use appropriate security measures when destroying client personal information, including shredding paper records and permanently deleting electronic records.
Access To Records Containing Personal Information
Clients of Gas Liquids Engineering Ltd. have a right of access to their own personal information in a record that is in our custody or under our control, subject to some exceptions. For example, organizations are required under the Personal Information Protection Act to refuse to provide access to information that would reveal personal information about another individual. Organizations are authorized under the Act to refuse access to personal information if disclosure would reveal confidential business information. Access may also be refused if the information is privileged or contained in mediation records.
If we refuse a request in whole or in part, we will provide the reasons for the refusal. In some cases where exceptions to access apply, we may withhold that information and provide you with the remainder of the record.
You may make a request for access to your personal information by writing to Privacy Officer. You must provide sufficient information in your request to allow us to identify the information you are seeking.
You may also request information about our use of your personal information and any disclosure of that information to persons outside our organization. For personal information collected before January 2004, if we do not have a record of disclosures, we will provide information about any disclosure of your information that is likely to have occurred.
You may also request a correction of an error or omission in your personal information. We will respond to your request within 45 calendar days, unless an extension is granted.
